Refund and cancellation policy

Eligibility

Refunds depend on how far preparation has progressed and whether a deposit reserved analyst time. Requests must be sent in writing to hello@nextmatrixcore.click.

Timeframe to request

Cancellation or refund requests should arrive within 7 days of the triggering event (for example, a missed kickoff or a delivery dispute) and no later than 14 days after the related invoice date, unless a longer statutory period applies.

Full and partial refunds

If we cancel an engagement before work starts, you receive a full refund of amounts paid for that engagement. If you cancel more than 10 business days before a scheduled consultation or project kickoff, we refund fees paid minus a 10% administration charge. Cancellations inside 10 business days may receive a partial refund of up to 50% if preparation has already begun.

Non-refundable items

• Completed monthly reporting cycles already delivered and accepted
• Completed consultations and rehearsal sessions
• Deposits once substantive drafting of a custom commission has started, except where we are at fault
• Third-party print or courier costs purchased at your request

Work already started

For monthly packages, if the data handoff has been received and drafting has begun, that cycle’s fee is chargeable. Unused future cycles on a prepaid block may be refunded on a pro-rata basis after deducting completed work.

Deposits

Project deposits secure calendar time. They become non-refundable once drafting starts, unless we fail to deliver the agreed brief without a client-caused delay.

Rescheduling and no-shows

Consultations and rehearsals may be rescheduled once with at least 48 hours’ notice at no charge. Later changes or no-shows may forfeit the session fee.

Refund process and timing

Approved refunds are processed to the original payment method within 14 business days of written approval. Bank processing times may add several days.
