Handing Off Clinic Exports Safely
A checklist for administrators who share operational extracts with an external reporting team.
Send aggregates and coded identifiers only. Strip patient names, national ID numbers, and free-text clinical notes before any file leaves your clinic network.
Agree a fixed folder structure: month label, source system name, and a short change log describing any new columns.
Prefer password-protected archives delivered through your clinic’s approved channel rather than personal email attachments.
After onboarding, keep a short retention note: how long working files stay with the reporting team and when they are deleted. Administrators sleep better when that agreement is written down.
